Minutes January 4, 2016 (Unofficial as we did not have a quorum)
Call to Order
Traci called the meeting to order at 6:15 p.m. Location – Cypress Creek Café

Minutes from last meeting were read by Tammy.
Jeanne Ann Cope stated that an attendee’s name from December meeting was incorrect. It should be Gloria Ibarra, not Mona Ibarra.
Kathy motioned to accept minutes with corrections and Tanya seconded.
Shari presented Treasurer’s report.
A few bills from Winter’s Eve still needed paid. Hays City Store signed up as a new member.
Dec 1 Beginning Balance - $6,829.08
Dec 31 Ending Balance - $4,919.65
Jacque motioned to accept Treasurer’s report and Maridel seconded.
Results of Decorating Contest
Membership renewal and membership drive. We need to be able to state what membership does for you, the benefits, etc. Kathy Utts is our membership committee person. We need to review by-laws and make appropriate revisions.
RETREET will be in Wimberley on January 17 planting trees along the river. Let merchants know so they can participate if they would like to. Anyone can volunteer to help out.
Winter’s Eve Review –
The second location for beer and wine worked out well although we purchased too much product. There will be enough left to use for BBQ Battle.
There were $2400.00 in sponsors for Christmas cash and to date, $1800.00 has been turned in for reimbursement. We need to establish a deadline set to redeem your Christmas Cash.
We need more large sponsorships to defray costs. Too many supplies were being purchased day of the event so it needs to be coordinated to take care of this prior to the event.
We need a diagram of stages, lights, poles, etc so that volunteers setting up know what to do.
Need a committee to develop and help grow the event.
We did not make a profit this year and have not made any donations to Barnabas Connection or to MYNK.
Wimberley Merchant’s Association needs to be printed more prominently on Christmas Cash.
Don’t use “On The Square” but come up with something to indicate it is all around the square.
Reach out to local organizations to participate in Winter’s Eve.
Printing costs were huge, so we should get this quoted out. It would be nice to spread work around to several vendors.
Closing the back area to auto traffic worked out well. There still needed to be a barricade down the road from Queen Bee. We should start shuttles as soon as we block parking and designate stops for the shuttle.
We need weights for tents.
We may want to invite Sheriff’s office to February meeting to discuss the problems that we have had with certain persons in town, bad check collection and open carry rules.
Future agenda items/events –
Wine Walk sponsored by the Civic Club. It is March 31 – we need to stay open late.
Need date for BBQ Battle – maybe same as Art Walk at Blue Hole – April 23 & 24.
Need to set a date for Mustang Car Show.
What can we do for a Memorial Day Event?
Pet Parade – week before Halloween – 3rd Saturday?
Mary said the guides need to go to print again. We need to add events and anything members may want to add. February 1 is deadline to pay membership fees to get in the printing of the guide.
Maridel motioned to adjourn and Melissa seconded. The meeting was adjourned at 8:00 p.m.
